• Identity & Contact Details: Full legal name, preferred nickname, email address, WhatsApp mobile number, date of birth, and government ID / Aadhaar details.
• Travel & Visa Documentation: Passport copies, passport number, nationality, date of issue/expiry, and visa documents (required for hotel registrations, speedboats, and border compliance).
• Group Fit & Roommate Preferences: Age, occupation, social handles (Instagram/LinkedIn), roommate gender preference, sleep habits, and social vibe indicators collected during the onboarding chat.
• Emergency Information: Nominated emergency contact person (name, relationship, phone number) and relevant medical allergies or severe dietary requirements you request us to communicate to venues.
• Travel Logistics: Return flight itineraries, arrival airport times, and departure schedules so we can organize synchronized private van transfers.

B. Information Collected Automatically

• Device & Usage Data: IP address, browser type, operating system, pages visited, time spent, and referral sources.
• Tracking Technologies: Cookies, Meta Pixel data, and Google Analytics to measure ad performance and conversion tracking on our landing page.

03. How We Use Your Information

We process your data strictly for legitimate operational, logistical, and community purposes, including:

• Confirming and managing your trip reservation, hotel vouchers, internal speedboats, and chartered transfers.
• Conducting the mutual "Vibe Check" to ensure cohesive group dynamics and safety for all 12–14 travelers.
• Pairing suitable roommates in shared twin-occupancy boutique accommodations based on gender and preference.
• Sending pre-departure flight guides, packing checklists, and local safety briefings via WhatsApp and email.
• Issuing tax invoices, GST billing, TCS filings, and payment receipts via Pelican Journeys.
• Improving our itineraries and measuring advertising campaigns across Meta (Instagram/Facebook) and Google.

04. Group Dynamics & WhatsApp Group Chats

Passport Club is built on genuine community and transparent connections. To facilitate pre-trip bonding and smooth on-ground coordination, we operate official WhatsApp groups for each cohort.

By joining the cohort, you agree to treat fellow travelers' contact information with absolute respect. Unsolicited commercial outreach, harassment, or sharing fellow travelers' numbers with third parties is strictly prohibited and grounds for immediate removal from the trip.

05. Photography, Video & User-Generated Content (UGC)

Our trips are social, creator-friendly experiences. We often have trip captains, hired photographers, drone pilots, or collaborating creators capturing candid moments of group activities (e.g., private catamarans, sunset rooftop mixers, or highland train journeys).

• Shared Digital Vault: Following the trip, high-resolution raw photos and videos are shared via a private Google Drive or AirDrop folder accessible only to travelers in your cohort.
• Marketing Usage: Passport Club reserves the right to use candid group photos, video snippets, and unedited B-roll captured during the trip across our social channels (@PassportClub), website, and digital advertising campaigns.
• Opt-Out Policy: We respect your comfort. If you prefer not to appear in public promotional media or Instagram reels, notify your trip captain or message us on WhatsApp before departure. We will ensure our editors flag and exclude your imagery.

06. Sharing with Trusted Suppliers

We do not sell, rent, or trade your personal data to marketers or data brokers. We share your information solely with essential travel suppliers required to execute your trip:

• Destination Management Companies (DMCs) & Local Guides: Trusted ground operators who manage vehicle convoys, activity permits, and licensed local security.
• Accommodations & Resorts: Boutique hotels and luxury villas requiring guest manifests and passport registrations by local law.
• Chartered Logistics: Speedboat operators, domestic airlines, and train reservation desks requiring passenger name records.
• Statutory Authorities: Immigration desks, tourism boards, or tax departments (GST/TCS under Indian law) when mandated by governing legal frameworks.

07. Payments, Billing & Data Security

All financial transactions, booking deposits, and final balance clearances are processed through verified banking channels, UPI, or compliant payment gateways under Pelican Journeys.

• Zero Card Storage: Passport Club does not directly store credit/debit card numbers, CVVs, or banking passwords on our servers.
• Security Measures: We employ SSL encryption, restricted administrative access, and secure cloud storage to protect your passport scans and personal records against unauthorized access or disclosure.

08. Cookies & Advertising Pixels
